College of Optometrists of Ontario Audit Questions

Occasionally, the College will send out an audit to some of its members. Some of those questions pertain to our software, so here are the answers to those questions.

Q: Recording date and time of each entry of information for each patient.

The date of the entire exam record is tracked, when the save button is pressed. Also, the date/time of when the patient is Arrived into the system is tracked. The time and date of each piece of information within the exam, however, is not tracked.

Q: Indicates changes in the recorded information.

There is no such facility.

Q: Preserves the original content of the recorded information when changed or updated.

The exams are locked after 30 days...but until that time, there is no tracking of the original data. The exam can be changed for 30 days, and only the latest version of the exam data exists in the database.

Q: Protection against unauthorized access.

There is a security feature available to prevent anyone without the appropriate password from accessing the exam data.

Q: Backup and recovery of electronic data.

The entire database is backed up every hour (this is configurable). To restore from a backup, requires only a few selections on the server program.
